Org. Setting and Reporting
This position is located in UNAMID’s Geospatial Information and Telecommunications Technology (GITT), Mail/Pouch and Archive Unit, El Fasher. The Information Management Assistant reports to Chief Information Systems Officer.
Responsibilities
Within limits of delegated authority, the Information Management Assistant FS-4 will carry out the following duties: 

Document and Data Management
•Manage the access to digital systems containing documents, data, or other information formats in order to protect sensitive information and promote the release of unclassified information.
•Contribute to the management of data by collecting, organizing and synthesizing data and information for delivery in information management services, products and systems.
•Operationalize document and data standards and promote them within the mission.
•Support the quality of documents and data by enforcing standards throughout a network of focal points.
•Provide timely uploading and maintenance of information in information systems.
•Liaise with document processing services with respect to preparation, reproduction and distribution of documents and publications.
•Order and follow-up on shipment of documents, reference materials, stationery and necessary equipment to various sites.
•Perform research and document delivery services using a range of specialized commercial databases in addition to standard sources and databases.

•Maintain statistics on service and workload measures.
•Provide relevant technical support to users of information services.

Education

Languages

The Records Management Unit (RMU) is a part of the Office of the Secretary General and is responsible for developing, implementing and overseeing the records management framework and programme within the OSCE.  It ensures the capture, distribution, storage and management of records in accordance with accepted standards and best practices. Tasks and Responsibilities
RMU is looking for an internship candidate who will work with all members of the team and will be tasked with the duties outlined below:

  • Providing support for records registration;
  • Assisting with backlog projects such as compiling inventories, weeding and digitizing records (digitizing includes document preparation, scanning, performing quality control and assigning metadata);
  • Assisting with file transfers as required;
  • Assisting with records-related events including planning, publicity, obtaining supplies, setting up and cleaning up;
  • Assisting with records projects including performing research and developing documentation such as policies and procedures and user guides;
  • Performing other records-related tasks as required.
Necessary Qualifications
  • Applicants should be under the age of 30 and from an OSCE participating State;
  • Students in the final year of higher education (university or other accredited institution) at graduate or postgraduate level, i.e. within two years of graduation, or recent graduates or postgraduates, with a background in Archival Science, Records Management or Information Management;
  • Working experience with Electronic Document and Records Management Systems (such as OpenText CS) is an asset;
  • Advanced computer skills;
  • Strong analytical, research and drafting skills;
  • Good organizational skills with ability to process and synthesize information quickly and efficiently;
  • Detail-oriented;
  • Professional fluency in English with excellent communication skills; knowledge of other OSCE working languages is an asset;

Remuneration Package
The OSCE is not in a position to pay any remuneration or cover any expenses incurred by the intern during his/her stay in Vienna nor reimburse travel expenses.
The internship lasts three (3) months and does not constitute a commitment to future employment with the OSCE. 
The selected intern will participate in the group health insurance scheme at his/her own expense but the OSCE will cover life and disability insurance.

Duties and Responsibilities
Under the general supervision of the Senior Manager of the Services Section and the direct supervision of the Head of the Information and Evidence Unit, the incumbent is expected to perform the following duties:
  • Supervise technicians and processes associated with securing electronic evidence at the seat of the Court;
  • Write technical scripts and programs that transform the structure of data to become useful in the Office’s evidence management systems;
  • Ensure the registration, digitization (wherever possible), the secure permanent storage, the registration and tracking of hardcopies (where appropriate) and the forwarding of all physical information and evidence material for court proceedings, including the maintenance of the chain of custody and the classification and confidentiality regime of the Office of the Prosecutor;
  • Translate the objectives of investigations into technical activities to assist teams in their examination of evidence in Ringtail, in the case of evidence, or TRIM for Information related to Preliminary Examinations;
  • Understand the structures and purposes of collected data and advice teams on appropriate measures to extract relevant information while maintaining forensic integrity of the evidence;
  • Populate evidence selection systems to allow teams to select potentially relevant items for registration as evidence;
  • Perform other duties as required.

Essential Qualifications
Education:
  • Advanced university degree in archive and records management, information management, law, or other relevant field.  A first-level university degree in combination with two additional years of qualifying experience is accepted in lieu of the advanced university degree;
  • Training in database management or equivalent including certified training in the field of forensic data management, evidence and property room management  or other relevant fields;

Experience:
  • A minimum of two years (four years with a first level university degree) of practical experience in the field of data automation, data management and functioning of electronic devises, preferably in a legal environment;
  • Demonstrated supervisory experience.

Knowledge, skills, and abilities:
  • Advanced skills in the use of MS Access database programming and general advanced skills in the use computer software;
  • Experience in the population of litigation support or evidence review tools;
  • Excellent communication skills and client orientation;

Introduction

Administrative Assistant in the Experimental Physics Department (EP), Administrative and Secretarial Support Group (AGS), Secretariat Support Section (SE). 

The Experimental Physics Department's secretariat support section is responsible for providing administrative secretarial support to the Department, Experiments and Groups. Our services include general office duties, including special contributions such as the organization of events or meetings.

Functions
 
As an Administrative Assistant in a secretariat of a physics experiment, you will join a team of assistants and participate in the daily management of the secretariat office with special emphasis on information, communication and organizational services.
 
You will:
 
  • Act as first line support concerning the physicists' queries in contact with relevant services inside and outside CERN.
  • Provide administrative and secretarial services associated with scheduling and coordinating meetings and events.
  • Prepare and follow-up of documentation and correspondence including their publication and circulation.
  • Maintain physical and electronic documents, web pages, shared files and records to provide up-to-date information jn collaboration with the Office in charge of the visiting scientists and with the academic and research institutes to which they belong.

En tant qu'Assistant(e) administratif(ve) au sein du secrĆ©tariat d'une expĆ©rience de physique, vous rejoindrez une Ć©quipe d'assistants et participerez Ć  la gestion quotidienne du bureau du secrĆ©tariat, tout particuliĆØrement pour des fonctions d'information, de communication et d'organisation.
 
Vous devrez :
 
  • Apporter un appui de premiĆØre ligne aux demandes des physiciens, en assurant la liaison avec les services concernĆ©s aussi bien Ć  l'intĆ©rieur qu'Ć  l'extĆ©rieur du CERN.
  • Fournir des services administratifs et de secrĆ©tariat liĆ©s Ć  la planification et Ć  la coordination de rĆ©unions et de manifestations.
  • Assurer la prĆ©paration et le suivi de documents et de diverses correspondances, y compris leur publication et leur diffusion.
  • Assurer la mise jour de documents papier et Ć©lectroniques, de pages web, de dossiers partagĆ©s et d'archives afin de pouvoir fournir des informations Ć  jour, en collaboration avec le bureau chargĆ© des visiteurs scientifiques et avec les instituts universitaires et de recherche auxquels ils sont rattachĆ©s.
  • VĆ©rifier que les diffĆ©rentes rĆØgles et procĆ©dures du CERN sont respectĆ©es et appliquĆ©es correctement selon les situations.
  • Remplacer les autres assistants pendant leurs absences, si nĆ©cessaire au dernier moment.

Org. Setting and Reporting
This position is located in the United Nations Multidimensional Integrated Stabilization Mission in Mali (MINUSMA), Bamako. The Information Management Assistant reports directly to the Chief of Records and Archives Unit.
               
Responsibilities
Within limits of delegated authority, the Information Management Assistant will be responsible for the following duties:

Archives and Records Management
• Oversees and manages MINUSMA Archives; ensuring that documentation is properly stored and safe-guarded and available for reference by authorized MINUSMA staff members;
• Oversees records accessioning operations by supervising and guiding staff in receiving transfers; ensuring the application of retention schedules and the establishment of links to previous accessions;
• Manages records storage operations by approving space allocations and associated accessions and database updating; responding to problems that arise with solutions; and monitoring environmental quality controls;
• Report s to DPKO Headquarters concerning documentation held in MINUSMA Archives and coordinates the transfer of Archives documentation to DPKO HQ as required;
• Manages document disposals by coordinating with relevant MINUSMA staff concerning off-site storage; ensure the proper preparation of background information for the review of archivists and approve retention schedules; supervises the staging of records for disposal, ensuring incinerator use for confidential documentation;
• Manages contractually stored records by facilitating the establishment of contracts and monitoring compliance; supervises the preparation of records for transfer to commercial storage; ensures retention schedules are applied and initiate reappraisals and disposals in consultation with archivists;
• Establishes archival procedures and supervises archival arrangements and description operations performed by Unit staff;
• Oversees reference and research operations and supervises reference staff in records identification, retrieval and reproduction services;
• Ensures the provision of environmental and safety secure curatorial and database management for artworks and archival photograph collections;
• Supervises and directs access and declassification reviews by monitoring the screening of records for security-classified materials, approves declassification review requests and ensures the Unit database is properly updated.

Documents
• Manages the provision of research and document delivery services provided by the Unit and prepares related reports for the supervisor and senior management;
• Decides on changes in practices and procedures in order to improve efficiency and effectiveness of services provided;
• Evaluates statistics on services, systems and workload of the Unit, and prepares related reports for the supervisor and senior management, making improvements and changes where required.

General
• Supervises and provides work direction and guidance to junior information management assistants; manage and coordinate the activities under his/her unit or area of responsibility; monitor staff performance and prepare performance evaluation reports for staff supervised;
• Prepares budget submissions related to the operation of the Information Management Unit; drafts narrative justifications for the proposed budget and; monitors budget expenditures once approved;
• Consults and advises other units/sections throughout MINUSMA to identify and plan the provision of information management services, and ensures the efficient provision of such services;
• Prepares work output and progress reports on the work of the Unit for the supervisor and senior management;

• Performs other duties as assigned by the supervisor.

Education
High school diploma or equivalent. Technical or vocational certificate in library, archives or records management techniques and systems or related fields is a requirement.
               
Work Experience
At least 8 years of progressively responsible experience in the field of archives and records management work.
               
Languages
English and French are the working languages of the United Nations Secretariat. For this post, fluency in English (both oral and written) is required. Knowledge of French is an advantage.
               
Assessment
Evaluation of qualified candidates may include an informal interview.
